Membership Policy

Dear Members,
On behalf of the committee, I would like to thank you for your continued support of Royal Greenwich Borough Football Club. I would like to take this opportunity to outline our Self Termination Policy to ensure clarity, fairness, and a shared understanding among all members.

1. Purpose
This policy outlines the procedure for any registered member of Royal Greenwich Borough Football Club to voluntarily terminate or cancel their membership. It ensures the process is transparent, fair, and consistent with the club’s constitution and membership terms.
2. Scope
This policy applies to all individuals who hold official club membership, including but not limited to:
- Voting members
- Any individual listed in the club’s official membership register
3. Monthly payment cycle
- Monthly Subscriptions: Monthly payments are to be collected on the 25th of each calendar month.
- The months of payments are taken as a month in advance in the following monthly cycle :
- August
- September
- October
- November
- January
- February
- March
- April
- May
- June
Failure to make payments on the 25th of each month will result in access being revoked.
4. Reasons for Self-Termination
Members may wish to terminate their membership for reasons including:
- Relocation or inability to attend matches
- Personal or financial circumstances
- Disagreement with club direction
- No longer wishing to be affiliated with the club
5. Procedure for Termination
5.1 Submitting a Termination Request
To terminate membership, a member must:
- Submit a written request by email or letter to the Club Secretary
- Include full name, playing member's full name and contact details
- Clearly state the desire to cancel membership
5.2 Notice Period
- Membership will be terminated within 14 days of receiving a written request, unless a future date is specified.
- In the event that payment has not been made past the period of 28 days from the 25th of the month from the first outstanding payment, your membership will be suspended. This will result in your child's, the player or the families membership not being active, restricting your child or the player from participating in any club activities or events.
5.3 Failure of payments
In the event that payment has not been made past the period of 28 days from the 25th of the month from the first outstanding payment, your membership will be suspended. This will result in your child's, the player or the families membership not being active, restricting your child or the player from participating in any club activities or events. This includes; league fixtures, tournaments, cups and any other events associated with the club.
5.4. De-activation of membership
- After 28 days: Membership will be cancelled with the club on the Football Association website.
- Outstanding fees: Outstanding membership fees will be sought via official claims 28 days after the initial suspension of membership stated in 4.3.
- Return of kit: Kit and apparel needs to be returned as per National Football Association rule pertaining to Affiliated club wear and apparel. Failure to do so will result in notification to the National Football Association.
6. Refund Policy
- Monthly Memberships: Monthly membership fees are non-refundable. In the event that a player is unable to attend due to extenuating circumstances, the Club Secretary must be contacted at the earliest possible opportunity whereby a decision can be made to support or suspend payments.

7. Effects of Termination
Upon termination:
- All member rights and benefits will cease
- Member data will be retained per the club’s Data Protection Policy and UK GDPR obligations
- Any membership credentials on software will be deleted
- sAll apparel will need to be returned within 14 days
8. Rejoining After Termination
Former members may reapply for membership in the future, subject to:
- Availability of spaces (where limited)
- Payment of relevant fees (outstanding)
- Approval by the club (if required under the club’s constitution)
9. Disputes and Appeals
If a member disputes the termination process or wishes to appeal the denial of rejoining, they may:
- Submit a written appeal to the Club Secretary within 14 days of the termination confirmation
- The Club Board will respond within 28 days
